Three qualities that suit the rapidly growing staffing agency Werckpost, which uses Plan4Flex's digitized staffing environment and Oribi's flawless identity verification to connect employees and clients quickly and securely. The unnecessary steps and systems that used to be necessary are now a thing of the past. Werckpost was founded in 2015 by Geert, Maria, and Nanne Post. The Post family had over fifteen years of experience in staffing.

Werckpost then rapidly grew into a large staffing agency, employing between eight hundred and fifteen hundred people annually with offices in Urk, Harlingen, IJmuiden, and Kampen. The company recruits workers from the Netherlands and abroad in various sectors, such as administration, cleaning, and industry. "We have our own recruitment agency in Poland and several recruitment agents in Bulgaria, Latvia, Lithuania, and Romania," explains Lubbert Schenk, account manager at Werckpost.

Need for efficient system

Ensuring the right match between employees and clients is only a fraction of Werckpost's work, which also manages housing and transportation for and for workers. Previously, this was done with a custom system. "That worked fine, until the system couldn't keep up with the demands of the times," Lubbert explains. "We could have updated the system, but that was expensive and, moreover, it wouldn't have been possible to integrate with Easyflex (our payroll and invoicing system). As a result, we would have had to run two or three systems side-by-side to enable communication with Easyflex. That's obviously not an ideal situation." Meanwhile, Werckpost continued to grow steadily, increasing the need for an efficient system that seamlessly integrated with Easyflex. That system ultimately became Plan4Flex. The operational software has supported Werckpost's work, transportation, and housing planning since 2022. This has its advantages.

Smoother recruitment process with Plan4Flex

Werckpost uses the Plan4Flex recruitment module for its recruitment process. "The recruiter submits a request from a client through Plan4Flex. This request is based on the company's requirements, such as a preference for a driver's license, education, and proficiency in English," Lubbert explains. "The recruitment agents then see in the candidate overview whether there's a possible match with the vacancy. We can then see that match in the recruitment module. This eliminates a large part of the communication involved in recruiting employees, such as checking the status of the recruitment process by phone or email. In short, everything can be found in the Plan4Flex recruitment module, which reduces information loss." Once the recruitment process is complete, the employee goes to one of Werckpost's offices. There, perhaps the most important step takes place: verifying their identity. "That's an essential component, because if an employee has an invalid ID, you face hefty fines. Moreover, the company is then thoroughly vetted," says Lubbert, who sees that ExpertID from Plan4Flex partner Oribi completely eliminates that risk for Werckpost.

The benefits

ExpertID is a physical scanner with software that verifies the authenticity of identity documents based on several characteristics. Werckpost benefits greatly from the integration between Plan4Flex and Oribi. Lubbert: "As soon as the ID scan is complete, we receive a certificate of authenticity. We can then export the approved ID to Plan4Flex and easily link it to the employee. After that, the correct employee information is automatically entered into the system." This allows Werckpost to eliminate the risk of errors in the verification process. "Previously, we checked IDs manually, which made it difficult to determine authenticity," says Lubbert. "Sometimes, ten employees had to be checked while the bus was already waiting outside. Due to time pressure, errors sometimes crept in." In addition to identity checks with the physical scanner, you can also perform these with the Oribi app. This allows you to perform identity checks on-site or remotely. For example, you can have the identity of a new temporary worker checked directly in the country of origin.

Complete and error-free

With the necessary data, Werckpost can, for example, immediately create a form, contract, or staff pass. "From that moment on, we can include the temporary workers in the personnel and transport planning, and housing in Plan4Flex," says Lubbert. Because data flows easily from one application to the other, the agency doesn't have the hassle of working in different software packages. "Thanks to the seamless integration between Plan4Flex and Oribi, we have a complete and error-free staffing process. It's an all-in-one system, and we're very satisfied with it."
